Summary

Leads is the holding place for families who have not submitted a waitlist application yet — interest-form submissions, staff-added contacts, imported open-house lists, and started-but-unfinished applications. Review them here, then convert or follow up when you are ready.

Before you start

  • Share your interest form or add leads yourself — see What is the interest form and how do I share it?.
  • Conversion needs a Child first name on the lead. Email-only submissions need that name first.
  • Converting does not put the family on Wait List until they finish the waitlist form.

What appears on Leads

Open Wait List and select the Leads tab (after Open Spots, before Wait List).

Leads tab with interest form rows and Copy Interest Form Link

Use Copy Interest Form Link on this tab to share the same public form as Settings → Interest Form.

The table shows parent name, child label (No child yet / Expecting / name), source, created date, and whether notes exist.

Steps

Review a lead

  1. Open Wait List → Leads.
  2. Select a row to open the lead.
  3. Review parent contact fields, child fields, Interest form answers, and Notes.
  4. Built-in and custom interest-form answers appear under Interest form answers (each question shows its own label), including What are you interested in? when the family filled it in.
  5. Edit missing details and select Save Changes.
  6. To add staff-only context, select Add note under Notes.

Lead details with Interest form answers and Convert to Waitlist

Convert a lead to a waitlist application

  1. Confirm Child first name is filled in. Convert to Waitlist stays unavailable until it is.
  2. Select Convert to Waitlist.
  3. In the convert window, choose one path:
    • Turn on Ask parent to complete the application to email the parent a link to finish the waitlist form, or
    • Leave that off and fill enrollment fields (start date, schedule, priorities, locations as needed), then select Convert.
  4. Kiddo creates an incomplete waitlist application and moves notes onto that child.
  5. If you did not send the invite email, share your waitlist link so the family can sign in and finish the form.

After convert, the original lead is no longer listed. The new incomplete application stays on Leads (source Incomplete application) until the parent submits. Then it moves to Wait List.

If the parent later submits a waitlist application with the same email, Kiddo marks the matching lead converted for you.

Add or import leads

  1. On Leads, select Add Lead to enter one family, or open the split menu and choose Import leads.
  2. Parent email is required on import. Duplicate emails at your center are skipped.

Stop following a lead

Select Archive Lead when you do not want to follow up. The row leaves Leads. This does not delete the record and does not change anything for the family — they are not notified.

What happens next

  • Converted families still need to complete the waitlist form (schedules, priorities, fee if you charge one).
  • By default, convert does not email the parent. Turn on Ask parent to complete the application in the convert window to send an invite email. Otherwise, follow up yourself.
  • What your parents see: How to join a center's waitlist

Common questions

Why is Convert to Waitlist unavailable?

Add a Child first name. Kiddo does not create placeholder children from email-only interest.

Why is a converted family still on Leads?

The new application is incomplete until the parent submits. That incomplete row stays on Leads on purpose.

Can I convert an incomplete application row?

No. Those rows already have a child and application. Ask the family to return to your waitlist link and finish, or open the child details from the row.

Does the interest form email my team?

Not automatically. Check Leads when you expect submissions, or after you share the link.
