Invite staff to your center
Summary Invite teammates so they can help manage waitlist, tours, and enrollment. Each person gets an email invite and a role that controls what they can see and edit. Before you start - You need Super Admin or Admin access (only those roles manage users). - Know which locations a person should access if they are Staff or a Location Manager. Steps 1. Open Settings. 2. Select User Management in the sidebar. 3. Select Add New User. 4. Enter First name, Last name, and Email. 5. Choose a role: - Super Admin — Full control including users, billing, and all locations. - Admin — All operational data across locations; cannot manage users or billing. - Location Manager — Waitlist, tours, and enrollment for assigned locations only. - Staff — View waitlist and tours for assigned locations; limited editing. 6. For Location Manager or Staff, select which locations they can access. 7. Select Save. Kiddo sends an invite email to the new user. The invitee follows the link in email to join Kiddo and access your center. Until they accept, their status shows Invited in the user table. What happens next - New users sign in with the invited email (verification code or Google if enabled). - You can Edit roles or locations anytime, or Remove access when someone leaves. - For pending invites, open the row menu and select Resend Invite. Common questions Which role should I pick for a director? Admin or Super Admin if they need all locations and settings. Use Location Manager if they only run one site. The invite email did not arrive Use Resend Invite from the user's action menu. Ask them to check spam and confirm the email address. Can staff send offers or edit the waitlist? Admin, Super Admin, and Location Manager can manage waitlist and offers for their scope. Staff is mostly view-only for waitlist and tours. Do parents get user accounts this way? No. This flow is for center staff only. Parents apply through your public waitlist link or sign in on the Parents tab at app.joinkiddo.com. Connect Google Calendar for tours
Summary Connect Google Calendar so new tour reservations automatically appear on the calendar for each location. Outlook is not supported for two-way sync today — use Google Calendar for automatic adds. Before you start - You need admin access and a Google account authorized to manage the calendar you want to use. - Tours must be configured with Availability on the Tour page. Steps 1. Open Tour from the main navigation. 2. Select the location you want to connect (calendar sync is per location). 3. Open the Settings tab on Tour. 4. Find Google Calendar — description: Automatically add new tour reservations to your Google Calendar. 5. Select Connect and complete Google's authorization flow. 6. Return to Kiddo. Status should show connected when sync is active. To disconnect, use Disconnect on the same row — new tours will not sync until you connect again. What happens next - When a family books (self-serve link) or staff Schedule a tour, a calendar event is created on the connected Google Calendar. - If access is revoked in Google, Kiddo prompts you to Reconnect on Tour → Settings. What your parents see: Book a tour at a center — families book from your tour link or an email invite; synced events appear on your Google Calendar. Common questions Do I connect once for the whole center? No — connect Google Calendar separately for each location that needs its own calendar. Can I connect from Settings → Integrations? Google Calendar setup lives on Tour → Settings for the selected location. Settings → Integrations covers Stripe and points you to Tour for calendar sync. Will edits in Google Calendar change Kiddo? Sync adds new reservations to Google Calendar. Manage tour changes (cancel, reschedule) in Kiddo so families and notifications stay aligned. Manage multiple locations
Summary Centers with more than one site use locations so waitlist, tours, open spots, and staff permissions stay organized per campus. Before you start - You need Super Admin or Admin access to Settings → Locations & Classrooms. - Plan a short code per location if you display location suffixes on status labels. Steps Add locations and classrooms 1. Open Settings → Locations & Classrooms. 2. Select Add Location and enter name, address, and details. 3. Within each location, add classrooms (age groups or rooms) used for open spots and offers. 4. Repeat for each site in your organization. Let families choose a location When multiple locations exist, your waitlist form can ask families which site they prefer. Configure location preferences during enrollment setup and on the public form — see Configure enrollment fees and steps. Assign staff to locations Location Manager and Staff roles access only assigned locations. When inviting users, pick locations on the Add New User form — see Invite staff to your center. Work in the app by location Many pages include a location switcher (Waitlist, Open spots, Tour). Choose All locations or a single site depending on your role. What happens next - Open spots and tours are location-specific. - Stripe and some integrations may be configured per center account — confirm billing with your Kiddo plan contact if you operate many sites under one login. Families can rank location preferences on the application when your center enables it. Each application row ties to a preferred site. Do I need a separate Kiddo account per location?
