What is waitlist priority and how is it used?
Summary Waitlist priority (also called enrollment priorities) helps your center rank applications fairly. Families answer priority questions on your waitlist form; Kiddo uses their answers plus your ranking rules to order the waitlist. Before you start - You need admin access to Settings. - Priorities work best after you add Schedules and review your default ranking rules. How priority works 1. You define priorities — Each priority has a name your staff sees and a question parents answer on the form (for example, "Does your family already have a child enrolled here?"). 2. You set the order — Drag priorities in Settings → Enrollment & Waitlist → Enrollment Priorities to set which answers rank higher. Top of the list = higher priority on the waitlist. 3. Families answer on the form — When someone applies, they see your questions. Their answers become priority badges on their application. 4. Kiddo sorts the waitlist — Applications with higher-priority answers appear above others with the same schedule and age group. Priority does not guarantee a spot — it helps you fill spots in the order you choose. What families see - Priority questions on your public waitlist form (worded in plain language). - No numeric score or internal rank — just the questions you configured. What your team sees - Priority badges on each child in Waitlist. - Filters to find applications by priority. - The same ranking when you send offers or review open spots. Common questions Do siblings automatically rank higher? Many centers add a priority for current or returning families. You control the order — place sibling or alumni priorities at the top if that matches your policy. Can I change priority order later? Yes. Reordering updates how new sorting is calculated. Existing manual changes you made on individual applications stay as you left them. What if I do not use priorities? You can keep default priorities or deactivate ones you do not need. Applications still sort by submission date when priorities tie. Does priority override my manual waitlist order? No. Priority is the starting order. Staff can still adjust individual applications when needed. Share your parent waitlist link
Summary Every center has a public waitlist link families use to apply online. Copy it from Wait List, Settings, or global search, then share it on your website, email signature, or social posts. Before you start - Finish go-live essentials (schedules, priorities, welcome message) — see the go-live checklist. - If you charge a waitlist fee, see Connect Stripe for waitlist fees and payouts for when payouts start. Steps 1. Sign in to Kiddo. 2. Copy your waitlist link from any of these places: - Wait List → Wait List tab (not Open Spots) → Copy waitlist link near the top - Settings → Center Profile → General Information → Waitlist Submission Link (click the field or copy icon) - Settings → Enrollment & Waitlist → Waitlist Welcome Message → copy icon next to the link - Global search (header search bar, or ⌘K / Ctrl+K) → Copy Waitlist Link 3. The button or icon shows Copied when the link is on your clipboard. 4. Paste the link wherever families should apply — your website, email campaigns, or printed materials. 5. Optional: open the link in a private browser window to preview what parents see before you share widely. The link goes to your center's public form (/waitlist-form/your-center-slug). Families sign in with email, then complete the application steps. What happens next - New applications appear on Wait List as families submit. - Families receive confirmation emails from your center (via Kiddo) when they apply. - You can reshare the same link anytime — it does not expire. The link is tied to your center's slug. Contact Kiddo support if you need a slug change — URLs should stay stable for families who saved an old link. Should I share the link before Stripe is connected? Yes. You can share your waitlist link before Stripe is fully connected. If you charge a waitlist fee, families can still complete payment at the end of the form — Kiddo collects the fee, and your center receives payouts only after Stripe Connect onboarding is complete. What do parents see when they open the link? Your welcome message, then Begin Application when they are ready — same as What your parents see above. Can families apply without the link? Staff can add children from Wait List, but most centers share the public link so families enter their own information. How to join a center's waitlist
Summary Join a center's waitlist through the link they share with you. You will sign in with email, add your family and child details, and submit an application — sometimes with a waitlist fee. Before you start - Have the waitlist link from your center (website, email, or flyer). - Use an email address you check regularly — Kiddo uses it to sign you in and send updates. - If the center charges a fee, have a credit or debit card ready. Steps 1. Open the link your center shared. It looks like app.joinkiddo.com/waitlist-form/… with your center's name. 2. If you are not signed in, enter your email on the Parents tab and enter the verification code on Check Your Email — see Sign in with email (verification code). 3. Read your center's welcome message, then select Begin Application. Welcome screen with Begin Application 4. Complete each step: - Parent / guardian — Your contact information. Parent Information step - Child — Name, birth date, and details for each child applying. Child Information step - Enrollment preferences — Schedule, start date, location (if the center has multiple sites), and any priority questions the center asks. Enrollment Information step - Payment — Pay the waitlist fee if your center charges one (shown as a non-refundable waitlist registration fee). The Summary shows each child and the total before you enter card details. Payment Information with Summary 5. Select Submit Payment when the total is correct, or Submit Application on Enrollment Information if your center does not charge a fee. 6. After submit, you land on a confirmation screen. Check email for a message from your center confirming they received your application. If you already applied at this center, Kiddo may skip the welcome screen and take you straight to add another child or update your application. What happens next - Your application appears on the center's waitlist. Status on Home shows On Wait List when your application is submitted and active. - The center may email you about tours, continued interest, or an offer when a spot opens. - You can sign back in anytime at app.joinkiddo.com to check status. Common questions I do not have a link — can I still apply? You need the center's public waitlist link or an invite from the center. Contact the center directly if you cannot find their link. Can I add more than one child? Yes. Complete the form for each child, or add siblings in the same session when the form allows. Is the waitlist fee refundable? Centers set their own policy. The form shows the fee as non-refundable when it applies. Ask the center if you have questions. Understand your waitlist status
Summary On Home, each center card shows where your family stands — on the waitlist, reviewing an offer, enrolled, and more. This guide explains the labels you see and what to do next. Before you start - Sign in at app.joinkiddo.com with the email your center has on file. - Open Home to see one card per center where you have an application. Status labels on Home | Status | What it means | What you can do | | --- | --- | --- | | Submitted — {date} | Your application is submitted and active. You are waiting for a spot or next step from the center. | Watch for emails about tours or offers. Reply if the center asks you to confirm continued interest. | | Offer Received | The center sent you an enrollment offer. There is a deadline to respond. | Open the offer on Home or from your email. Enrollment steps (documents, fees) may still be open. | Complete any tasks shown on Home — payments, uploads, or forms. | | Enrolled | Your child is enrolled at the center. | Follow the center's onboarding instructions. | | Offer Declined | You declined an offer, or it was not accepted in time. | Your center may keep you on the waitlist or contact you — check email or reach out to the center. | | Withdrawn | You or the center removed this application from active consideration. | Contact the center if you think this is a mistake or want to reapply. | When your application is active, Home shows Submitted — {date} on the center card. If the center moved your application off their active list without a parent-facing status change, Home may instead show On Waitlist (one word) as a fallback — see below. You may also see Incomplete if you started an application but have not submitted it yet. Select Add Child on Home or use the center's waitlist link to finish. When you're no longer on the active waitlist Centers sometimes move applications off their active waitlist for internal record-keeping — for example after a long quiet period or when a child ages out of a program. Home does not show a separate removed status for those updates. In that situation, Home may still show On Waitlist (one word — different from the active On Wait List label above) even though you are not actively waitlisted. That label is a fallback, not confirmation that you still have a spot in line. Contact the center if you are unsure where things stand. The status change families see most clearly today is Withdrawn, when you or the center formally ended active consideration. Other details on the card - Payment — Paid, Pending, or Overdue for waitlist or enrollment fees. - Tour — Scheduled, Visited, or Not Scheduled when the center uses tours. - Notifications — Action items such as Offer Received or Complete Payment appear at the top of the card. What you'll see on Home Use these as a visual guide while you read the status labels above. Your center's fees, tour settings, and program names may look different. Centers sometimes update applications after tours, continued-interest checks, or internal reviews. Email is the best place for details — or message the center directly. I accepted an offer but still see tasks on Home Enrollment often has more steps after accept — documents, deposits, or forms. Complete each item until the card shows Enrolled. The center said I'm off the waitlist — what will I see on Home? It depends how they updated your application: - Withdrawn — you or the center formally withdrew. This is the clearest signal on Home today. - On Waitlist (fallback label, one word) — may appear even if you are no longer actively waitlisted. That can happen when the center moved your application off their active list internally. Call or email the center to confirm next steps (reapply, different program, etc.). Can I be on waitlists at multiple centers? Yes. Home shows a separate card per center. Each center manages its own waitlist and offers. Import families from a spreadsheet
Summary Import an existing waitlist from a spreadsheet instead of entering families one by one. Kiddo validates rows, maps schedules and priorities, and creates applications your team can review. Before you start - You need admin access to Waitlist. - Configure Schedules and Enrollment Priorities first so import mapping matches your codes — Configure enrollment fees and steps. - Prepare a CSV using Kiddo's import template (download from the import flow). Steps 1. Open Waitlist. 2. On the Waitlist tab, open the Add Child split menu and choose Import Children. 3. Download the template if you have not already — use the center's schedule and priority codes from Settings. 4. Fill the spreadsheet with parent, child, and enrollment columns. One row per child application. 5. Upload the CSV in the import modal. 6. Review validation results — fix errors or map unknown values (schedules, priorities). 7. Confirm the import. Kiddo creates applications and may queue a handover upload for large files. Review imported rows on Waitlist like any other application. Send guardian invites if families still need Kiddo accounts. What happens next - Imported children appear on Waitlist with submitted dates you provided (or import time). - Families may receive invite or confirmation emails depending on your import options and comms settings. - Duplicate detection may flag rows that match existing families — merge duplicate child profiles or archive as needed. Common questions Can parents complete payment after import? If you charge a waitlist fee, imported families may need to pay through Home or a follow-up request — payment is not always collected during CSV import. What if schedule codes do not match? The import wizard lets you map spreadsheet values to your center's schedules or skip invalid rows. Update Schedules in Settings if codes changed. Is import the same as Export Waitlist? How to add another child to the waitlist
Summary Each child needs their own waitlist application at a center. You can add siblings in one session or later after your first child is already on the waitlist. Use the same parent email for every child so they appear together on Home. Before you start - Sign in with the same email you used for your first application. - Have the center’s waitlist link ready (from their website or email). - If the center charges a waitlist fee, payment is per child on Payment Information — each child appears on its own line. If there is no fee, you submit on Enrollment Information with Submit Application instead. Add a sibling during your first application 1. Open the center’s waitlist link and sign in. 2. Select Begin Application and complete Parent Information once. 3. On Child Information, fill in your first child’s details. 4. Select Add Another Child and enter the sibling’s details. 5. On Enrollment Information, complete Preferences for each child — Desired Start Date, Desired Schedule, and Priority Status questions for that child. 6. On Payment Information, review the total. Each child appears on its own line; amounts depend on your center's settings (waitlist fee, priority answers, or discounts). Select Submit Payment when ready — or Submit Application on Enrollment Information if your center does not charge a fee. You can also add only one child first and return later (see below). Add a second child after your first application You have two ways to start: From Home 1. Sign in and open Home. 2. Select Add Child (top of the page). 3. If you applied at more than one center, pick the center for this sibling. 4. Kiddo opens that center’s application at Child Information with your existing children listed. 5. Select Add Another Child, enter the sibling’s details, then complete Enrollment Information (Preferences for each child) and Payment Information. From the center’s waitlist link 1. Open the same waitlist link you used before and sign in with the same email. 2. If you already have an application at that center, Kiddo opens the form directly (you may not see Begin Application again). 3. On Child Information, your existing children appear. Select Add Another Child. 4. Complete Enrollment Information and Payment Information for the new sibling (if required), then select Submit Payment or Submit Application. Common questions Do siblings share one waitlist position? No. Each child has their own application and offer path. The center’s priority rules may help siblings when a spot opens. Do I pay the waitlist fee again? Payment is per child. On Payment Information, each child is listed separately — for example, one line may show Fee Waived and another may show an amount to pay. Whether a fee applies depends on your center's settings: their waitlist fee, the Priority Status answers you select for that child (such as another enrolled sibling or a full deposit waiver), and any promo code. Confirm the total before you select Submit Payment — or Submit Application if there is no payment step. Ask the center if you are unsure. Can each child have a different schedule or start date? Yes. Each child has a Preferences for [child name] section with its own Desired Start Date and Desired Schedule. I used a different email for my second child — can I combine them? Contact the center. They can help under one family account. Applying with one email from the start is easiest. My center added my sibling for me — do I still need to do anything? If staff submitted the application, you are done unless the center asks for more information. If they only started an application, sign in and finish any Incomplete steps from Home → Add Child or the waitlist link. How to archive a waitlist application
Summary When a family is no longer in active consideration — or you need to clean up your list — archive moves the application to Waitlist → Archive without deleting data. From the Wait List or Offers tab, choose an archive status in Select Archive Status so your team records the right reason. Before you start - You need staff access to Waitlist. - Archiving does not delete applications. You can still view details, export data, and Return to Waitlist later. - Auto-archive rules (age or inactivity) are separate — see How to set up auto-archive rules for your waitlist. - On the Enrolled tab, Archive skips the status picker and archives as Admin Archive (Non-Parent Facing) after you confirm. Steps Archive from the waitlist or offers tab 1. Open Waitlist and go to Wait List or Offers. 2. Select one or more applications, or open a child's row menu (...). 3. Choose Archive Selected (bulk) or Archive (single row). 4. In Select Archive Status, pick the reason that best matches what happened (see the table below). 5. Select Submit. You can also open a child's profile from the waitlist and choose Archive from the header menu — the same Select Archive Status modal appears. Archive from the enrolled tab 1. Open Waitlist → Enrolled. 2. Select the application(s) or use the row Archive action. 3. Confirm in Confirm Archive. These applications are archived as Admin Archive (Non-Parent Facing). Non-Parent Facing means the archive is for your staff records — not a parent-facing status change on Home. Only Parent Withdraw reliably shows Withdrawn to families today. What happens next On your waitlist - Archived applications leave Wait List, Offers, or Enrolled and appear under Waitlist → Archive. - The Archive Status column shows the label from the table above. Auto-archived rows show Age rule — auto or Inactivity rule — auto instead. - Waitlist position is preserved — Return to Waitlist keeps the original submission date for ordering. - Kiddo does not send an automatic email when you manually archive. Contact the family directly when they need an explanation. For families Parent Home hides most archived statuses and keeps only Withdrawn visible. Admin Archive, Expired Offer, Parent Declined, and auto-archive do not show a removed label; the card may fall back to On Waitlist even though the application is off your active waitlist. What your parents see in detail: Understand your waitlist status. Common questions Does archive delete the application? No. Archive moves it off active tabs. Permanent delete is a separate, irreversible action — use only when your center policy requires removing data entirely. Can I change the archive status after the fact? The status is set when you archive. If you picked the wrong reason, Return to Waitlist and archive again with the correct status, or add a staff note on the child's profile for your team. When should I use Admin Archive vs Parent Withdraw? Use Parent Withdraw when the family should see Withdrawn on Home — for example, they emailed asking to be removed. Use Admin Archive (Non-Parent Facing) for internal housekeeping (duplicate cleanup, stale records you already discussed offline). Do not expect Admin Archive to change what families see on Home beyond a possible On Waitlist fallback. How is this different from auto-archive? Auto-archive runs on your schedule from Settings → Enrollment & Waitlist → Auto-Archive Rules. Manual archive is a one-time staff action with a reason you choose. Both land in Archive and behave the same on Home today. Can I archive applications with an open offer? Yes, from Offers or Wait List. Choose Expired Offer or Parent Declined when an offer was involved so your Archive tab stays accurate. Finish an incomplete waitlist application
Summary Incomplete means you started a waitlist application at a center but have not submitted it yet. You are not fully on the waitlist until you finish the form and submit. Kiddo may email you reminders — finish the form when you can so the center can keep your application active. Before you start - Sign in at app.joinkiddo.com with the email you used when you started. - Have the center’s waitlist link (from their website or email), or use Home → Add Child to return to the application. How you know an application is incomplete On Home, the center card may show Incomplete for that child. That usually means you saved progress through part of the form — often after you entered Enrollment Information (start date, schedule, or program preferences) — but did not reach the final submit step. If you only filled in parent or child details and closed the browser, you might not see Incomplete yet. Open the waitlist link again, or select Add Child on Home, and continue where you left off. How to finish and submit You can pick up where you left off from Home or the center’s waitlist link. From Home 1. Sign in and open Home. 2. Select Add Child at the top of the page. 3. If you applied at more than one center, pick the center for this application. 4. Kiddo opens that center’s waitlist form with your saved information. 5. Complete any remaining steps: - Parent Information - Child Information - Enrollment Information (Preferences for each child) - Payment Information (if the center charges a waitlist fee for this child) 6. Select Submit Payment when the total is correct, or Submit Application on Enrollment Information if your center does not charge a fee. When the application is complete, Home should show On Wait List instead of Incomplete. From the center’s waitlist link 1. Sign in to Kiddo. 2. Open the center’s waitlist link from their website or email. 3. Complete any remaining steps (same as above), then select Submit Payment or Submit Application. If you already applied for another child at the same center, Kiddo may open the form directly and list your existing children. Finish enrollment and payment for the child who is Incomplete. What you'll see on Home Add Child button on Home When an application is unfinished, the center card on Home shows Incomplete (not Submitted — date). Reminder emails The center may send up to three reminder emails asking you to finish. Default timing is about 2, 4, and 7 days after you started — your center can change this. Emails come from the center’s name (sent through Kiddo) and include a link back to your application. Check spam if you do not see them. These reminders are for unfinished applications. They are different from emails about a waitlist fee after you already submitted — see Pay a waitlist or enrollment fee. What happens if you do not finish If you do not submit after the reminders run their course, the center may no longer keep that application on their active waitlist. You might not receive a separate email when that happens. Home may still show a waitlist-related label even when you are not actively in line — see Understand your waitlist status. When in doubt, contact the center to ask whether you should reapply. The 7-day completion window Centers care about when you submit, not just when you start. Reminder emails often mention keeping your original application date for waitlist priority. If too much time passes before you submit, you may need to start fresh when you return. Your place in line is generally based on your submission date, not the day you first opened the form. Not fully. The center can see that you started, but you are not in the same position as families who completed and submitted. I thought I finished — why does it still say Incomplete? You may have stopped before the final submit step, or before payment if a fee is required. Select Add Child on Home or open the waitlist link again and look for any step still open. Can I save and come back later? Yes. Use Save & Exit on the form if you need to pause. Return through Home → Add Child or the waitlist link while you still have time to submit. Save and Exit on the waitlist form Does waiting to submit affect waitlist priority? Often yes — many centers use your submission date for priority. Finish when you can; the reminder emails explain the timing your center uses. The center said they no longer have our application — can we reapply? Yes. What incomplete waitlist applications mean
Summary An incomplete waitlist application is one a parent started but has not submitted yet. The child may appear on Waitlist → Wait List with status Incomplete while Kiddo sends reminder emails. This is different from a submitted application that still needs a waitlist fee. Before you start - You need staff access to Waitlist. - Families apply through your public waitlist link — see Share your parent waitlist link. - Reminder timing and templates live under Communications → Wait List Communications — see How automated messages work. How incomplete applications happen Kiddo creates a waitlist application when a family finishes the Enrollment Information step and moves toward payment (not when they only fill in parent or child details earlier in the form). Until the family submits the application: - Kiddo has not recorded a submission yet (the application is not finalized). - The row can still appear on your active Wait List tab with status Incomplete. - Opening the child's profile shows an Application incomplete notice at the top of Center Information. On Home, families may see Incomplete on the center card until they return to your waitlist link and finish. Treat them as leads to follow up, not as fully queued families. Reminder emails (default timing) Kiddo can send up to three automated emails reminding the family to finish. Default timing from when the application was created: | Order | Typical timing | Email subject theme | | --- | --- | --- | | 1 | 2 days | Reminder to finish application | | 2 | 4 days | Reminder to complete your waitlist application | | 3 | 7 days | Final reminder to complete your waitlist application | Your center can change timing or turn workflows off under Communications → Wait List Communications. Emails come from your center's name via Kiddo. What happens after 7 days Two things work together: 1. Final reminder — The third email goes out around the 7-day mark (or whatever you configured for the final reminder). 2. Auto-archive — After all three reminders have been sent, Kiddo usually archives the application so it leaves Wait List and moves to Waitlist → Archive. Staff see the archive reason tied to incomplete-application reminders. Kiddo does not auto-archive incomplete applications that already have a paid, waived, or not required waitlist fee, or a 100% priority or promo discount that removes the fee. Families who return later may need to restart the application if the completion window has expired. Their place in line is based on when they successfully submit, not when they first started. It does not replace incomplete-application reminders. What you can do as staff 1. Open Waitlist → Wait List and look for status Incomplete. 2. Open the child's profile and read the Application incomplete notice. 3. Contact the family directly if reminders are not enough — resend your waitlist link. 4. If the record is stale and you do not expect them to finish, archive the application yourself instead of waiting for auto-archive. Do not expect changing Waitlist Submission Date on an incomplete application to submit it for the parent. Common questions Why is someone on my waitlist if they never paid? If status is Incomplete, they have not submitted yet — payment may not have been collected because the form was never finalized. If status is On Wait List with Pending payment, they submitted but still owe the waitlist fee. Do incomplete applications count for priority or offers? No. Waitlist priority and offers apply to submitted applications. Incomplete rows are visible for follow-up but are not fully in queue. Can I turn off the reminder emails? Yes — adjust or disable the incomplete-application workflows under Communications → Wait List Communications. Will the family get an email when we auto-archive? Not automatically from the archive step itself. They may have already received the three finish-your-application reminders. Reach out directly if you want to confirm they are still interested. What if they started but I do not see them on the waitlist? If they stopped before finishing enrollment preferences, Kiddo may not have created a waitlist application yet — there is nothing on Wait List to show. Only a partial signup exists until enrollment information is saved. How to add a second child to the waitlist
Summary Each child needs their own waitlist application at your center. When a family already has one child on your waitlist, you can add a sibling from Waitlist or send them your public link so they complete the form themselves. Before you start - You need staff access to Waitlist. - Know the parent’s email (or name) so you can find the right family when adding from staff tools. - If you charge a waitlist fee, confirm Stripe is connected — Connect Stripe for waitlist fees and payouts. Option A — Parent adds the sibling (recommended) Most centers reshare the same waitlist link so families enter their own information. 1. Copy your link from Waitlist → Copy waitlist link — see Share your parent waitlist link. Copy waitlist link on the Waitlist toolbar 2. Send it to the family and ask them to sign in with the same email they used for their first child. 3. Kiddo opens the form directly when they already have an application at your center — they may not see Begin Application again. 4. They select Add Another Child on the form, or return from Home → Add Child on the family Home page, then complete the new child’s details and enrollment preferences, pay if required, and submit. What your parents see: How to add another child to the waitlist. Option B — Staff adds the sibling Use this when you are entering the application for the family or helping them over the phone. 1. Open Waitlist and stay on the Wait List tab. 2. Select Add Child (the primary button — not Import Children). Add Child button on Waitlist 3. On Add New Child, search for the parent by name or email under Parent Information. Add New Child — search for the parent 4. Select the matching guardian. Kiddo loads their existing family and any children already on file. 5. Open Child Information. Existing children appear for reference. Enter details for the new sibling (or select Add Another Child if you need an extra row). 6. Open Enrollment Information. Set start date, schedule, location preferences, and priorities for the new child only. Add New Child — Enrollment Information for the sibling 7. Select Add Child to Wait List. The new application appears on Wait List with its own status. Kiddo links siblings on the same family so you can see related children from the waitlist table. What happens next - The sibling gets a separate waitlist application and queue position — offers are per child. - If you use enrollment priorities (for example, current families or siblings), the new application may qualify when the parent answers priority questions — see What is waitlist priority and how is it used?. - Waitlist fee: Fees are charged per child when your settings require payment for that application. On Payment Information, parents see each child on its own line — for example Fee Waived or an amount — based on your waitlist fee, Priority Status answers, and discounts. - Reminder emails for incomplete applications apply separately to each child — see What incomplete waitlist applications mean. Common questions Should I use Add Child or Import Children? Add Child is for one family at a time (including a second sibling). Import Children is for bulk CSV import — see Import families from a spreadsheet. Will the sibling share the first child’s waitlist spot? No. Each child has their own application and offer path. Priority rules may rank siblings higher when you configured them. The parent used a different email for the second child — now I see two families Ask the parent to use one email for all applications, or add the sibling yourself with Add Child after searching the correct guardian. Search for the parent in Add Child and complete a new waitlist application for the sibling. Enrollment status on an older sibling does not block a new application for another child. What if the parent starts but does not submit? The sibling may show as Incomplete on Wait List until they finish or reminders time out — see What incomplete waitlist applications mean.
